NP and PA Request for Proctored Clinical Rotation

Proctored clinical experience time is requested by many individuals in many disciplines. To provide you with the clinical rotation experience you are expecting, Covenant needs to assure that there are resources available for you.

Proctored clinical rotation requests are evaluated and approved by a central coordination group. Your request will be forwarded to the centralized coordination group who will determine whether there will be a proctor available to you at the time you desired. You will be notified by email whether the request is approved or denied.

If PLACEMENT IS APPROVED you can proceed with your credentialing on onboarding process.

Clinical rotation opportunities are limited, so please make your request when you have the details in place (start/end date of rotation, proctor requested, and site). Securing the signature of the proctor and master contract (if none exists) can take some time. Please allow 6-8 weeks for processing and completion of your proctored clinical rotation request.

Step 1: Master Agreement
Covenant HealthCare requires a Master Agreement between this organization and your university. The following institutions already have Master Agreements in place:

If you do not see your university in the above list, please contact pbonds@chs-mi.com so the process can be initiated. Once the master contract is initiated, proceed to Step 2.

Step 2: Covenant Requirements and Verifications

  • ACEMAPP is the clinical education group that Covenant uses to assure that organizational requirements are fulfilled prior to your proctored clinical rotation. Many universities and colleges utilize ACEMAPP for student onboarding.
  • There is a $50.00 fee for ACEMAPP training. You will be prompted for payment when you register.
  • All documents required for onboarding are available in the ACEMAPP tool.

Directions for registration for ACEMAPP account

  1. If your school uses ACEMAPP and has a Placement Coordinator, please direct the Placement Coordinator to request an affiliation with Covenant HealthCare (if none exists) and request a rotation on your behalf. If you have a prior ACEMAPP account, please use the SAME EMAIL account that you have previously used for ACEMAPP. This will allow all your information to link and be viewed easily.
  2. If your school uses ACEMAPP but you do NOT HAVE a Placement Coordinator, please request a rotation at Covenant HealthCare individually through ACEMAPP. If you have a prior ACEMAPP account, please use the SAME EMAIL account that you have previously used for ACEMAPP. This will allow all your information to link and be viewed easily.
  3. If you DO NOT HAVE as ACEMAPP account and are unfamiliar with the tool, please complete the online application here. After your application is received, you will be sent further information related to registering for an ACEMAPP account at Covenant HealthCare and requesting a rotation.

Step 3: Required EPIC Training
Medical Staff Services Department will notify the EPIC training team of your need for EPIC training AFTER your rotation and requirements have been received and approved. (EPIC is the Electronic Medical Record system used at Covenant.)

  • Inpatient Care: It is mandatory that you attend an EPIC training session prior to your proctored clinical rotation if you are participating in any inpatient care or rounding with your proctor. EPIC training classes are offered monthly, and you will be scheduled in the next available open class after all your rotation materials are approved. Classes fill quickly so prompt submission of your application and documents is important.
  • Outpatient Care: If you are participating in an Outpatient rotation only, then EPIC training classes are not required. Your proctor will be responsible for instruction.
  • Covenant employees: Current Covenant employees are not required to obtain EPIC training. Please indicate in your rotation request or on your application whether you are a current Covenant employee.

Step 4: Identification Badge
Any personnel working within Covenant HealthCare must wear an identification badge at all times. You will be responsible for obtaining this badge from the Human Resource Department, Anderson Campus, 1020 Almira, 2nd floor.

  • The request for the badge will be placed once Medical Staff Services is notified by the EPIC training team that you have successfully completed your EPIC training.
  • Covenant employees: Current Covenant employees must obtain an ID Badge and must wear the appropriate badge when on campus (e.g. student badge must be worn during proctored clinical rotation, work badge during regularly schedule work hours.)

Step 5: EPIC Sign On
Your EPIC sign on information will be given to you via email after you have completed your requirements, or at your EPIC training session by the EPIC training team.

  • Covenant employees: Medical Staff Services office will arrange for your personal sign-on information with EPIC security team. Medical Staff Office will forward you this information via email.

Step 6: OR Scrub Training
Many clinical rotations require that the student round in the operating room. Please determine whether this is going to be a need for your upcoming rotation. Even if you have obtained scrub training elsewhere, Covenant does require that you have scrub training here prior to your rotation. If this is needed, the OR Education Coordinator will be contacted by Medical Staff Office to schedule a training session for you prior to your impending clinical rotation.
